When can I start casting my e-votes? Advance E-Voting starts on 3 November 2022 at https://ga.rspo.org/ and closes forty-eight (48) hours before GA19 at 3:00PM (GMT+8) on 29 November 2022. Live E-Voting will be carried out during the GA19 meeting.
When can I start submitting resolutions? The call for resolutions submission starts on 8 September 2022 and closes on 29 September 2022 at 5:00 PM (GMT+8).

RSPO Resolution Forum
What is the RSPO Resolution Forum? The RSPO Resolution Forum is a platform for members (Ordinary and Observers) to discuss resolutions proposed by RSPO members. These resolutions will be tabled at GA19 for voting.
Who can participate in the RSPO Resolution Forum? All Ordinary members registered to vote and observe the GA19 can participate in the forum to post questions and comments for each of the proposed resolutions.
How can I join the RSPO Resolution Forum? You can join the forum by registering for GA19 at https://ga.rspo.org/. An email with information to access the forum will be sent to you upon registration to attend and vote.
Who is managing the RSPO Resolution Forum? The RSPO Secretariat is responsible for administering the forum and a moderator (resolution proponent) will be appointed to moderate the discussion of each proposed resolution in the forum.
What is the purpose of the RSPO Resolution Forum? The purpose of the forum is to provide an opportunity for members to get clarification and ask questions related to the proposed resolutions.
General Assembly
How do I join GA19? RSPO will be hosting a hybrid GA19 for its members. You may join the GA19 physically or virtually by registering for the event.
Is GA19 available in other languages? Yes, simultaneous interpretation will be provided at the GA19. Languages available are Bahasa Indonesia, French, Spanish and Thai. The official language of GA19 is English.
How do I join the virtual GA19 as an observer? All RSPO members in good standing can join the GA19 proceedings physically or virtually as an observer. You may join the GA19 by registering for the event.
Voting
How do members cast their votes during virtual GA19? Voting will be carried out entirely by electronic voting (E-voting). Members can choose to vote at the in-person or virtual GA19, vote in advance of the GA19, or appoint a proxy to vote on their behalf at the GA19.
Who can vote? All Ordinary members in good standing have the right to vote. Registration to vote must be done prior to voting.
How do I appoint a proxy? You may appoint a proxy via the GA19 registration website.
Who can be a proxy? You can either appoint any voting member of your own choice from the same sector as the proxy holder. The proxy holder must attend the GA19 in-person.
Can I provide voting instructions to the proxy holder? No, you cannot give voting instructions to the proxy holder. By selecting the proxy option, you are giving the proxy holder full discretion to vote on your behalf during the GA.
Do I need to inform the proxy of my choice that I have selected them to be my proxy holder? Yes, you need to inform your proxy holder that you have appointed them to be your proxy holder.
When will I get notified if I have been appointed as a proxy holder? The member appointing you as a proxy holder will need to notify you prior to appointing you as a proxy holder. You will receive a notification from the RSPO once the appointment goes through the registration system.
When can I start casting the proxy votes? All proxy holders are expected to cast the proxy vote in-person at the GA19 meeting.
Can I cast my votes in advance before casting the proxy votes? If you are a voting member and a proxy holder, you are expected to cast all votes at the in-person GA19 meeting. If you have voted in advance before the in-person GA19 meeting, please notify the RSPO Secretariat at [email protected].
Resolutions Submission
How do I submit a resolution? All submissions must be done via the online form. Please refer to the resolution submission guidelines before submitting a resolution.
Can I submit a resolution after the deadline? Late submissions will not be accepted and the online form will be closed, according to schedule.
What do I need to do if I want to submit a resolution? Resolution submission can be done online via the GA18 website. RSPO will be providing a collaboration opportunity to develop a resolution for Ordinary members who are interested in submitting a resolution. Resolution proponents are requested to inform the RSPO Secretariat of their intentions to submit a resolution in order to access the platform for collaboration with other stakeholders.
Nominations for Board Election
How do I submit a nomination for the Board Election? Submissions must be done via the online form. Board nomination submission guidelines are available online at the GA19 website for viewing and downloading.
Can I submit a nomination for the Board Election after the deadline? Late submissions will not be accepted and the online form will be closed, according to schedule.
Who is eligible to stand for the Board Election? All Ordinary members in good standing are eligible to stand for Board Election, provided that the seat is available for election at the coming GA19.
Who can I nominate to stand for the Board Election? Nomination can be made for either yourself or other Ordinary members from the same membership sector. If you are nominating someone else, please ensure that you have checked with the person and they have agreed to be nominated.
